2025 New Members Information

Welcome to T-Club-6 Ltd.

We provide after school care for children who attend Reigate Priory School. T-Club-6 Ltd is a non-profit making organisation with Charity status which is run by a voluntary committee.

This letter explains the club’s booking procedure for new members joining in September. Full details of our Admissions and Fees Policy can be found on our website www.tclub6.org.uk

The club has a free play ethos, providing a secure, caring and stimulating environment for your children to explore the wide range of activities and child- initiated play opportunities on offer.

T-Club-6 Ltd is committed to safeguarding and promoting the wellbeing of the children in its care.

General Information

T Club 6 is only open to children attending Reigate Priory School.

Our Ofsted registration allows us to provide after school care for 56 children per night and we currently have availability on all nights of the week.

Bookings are for regular sessions, made a term at a time, for the same night each week.

The places are allocated on a first come first served basis through our online booking system with priority given to current members and siblings.

Unfortunately, we are not able to accommodate single bookings or shift patterns.

Opening Hours & Location

T-Club-6 Ltd is open every day that the school is open EXCEPT the early finishes at the end of each term and the Friday of Arts week.

Our sessions run from 3.30-6.00pm daily and operate in the Dining area/ Holbein Hall and outside Courtyard.

Our fees for January 2025 will be:
Session Fees for Spring Term 2025£13.50
Sibling Fee
(if 2 or more are booked for the same day on the same booking reference)
£12.50 (£1 discount per sibling.)

Please note that due to an increase in costs particularly after the recent budget we have had to increase our costs for the Spring Term. However we believe these are still highly competitive.

Late pick-up:

You will be charged £20.00 for each half hour or part of that you are late, after 6.00pm, (If a child has not been collected by 7pm or we have been unable to contact you, we are required to contact the Police).

How do I book?

Bookings are made via our online booking system, where places are allocated in order of completed booking. If you would like to make a booking, please set up an account using the link below.

January 2025 Booking Procedure:

Places will be released in 2 stages:

  • Stage One – Priority for current members with a regular booking wishing to book there child back in for the Spring Term
  • Stage Two – All new bookings from the rest of the school.  
New Members Booking for Spring Term 2025

New members bookings, (stage 2) open at 7.00am on Friday 13th December.

You will need to set up an account with our online booking system, completing all the required fields and agreeing to our terms and conditions, before you will be able to proceed to the booking area and book the days you require for the academic year, we suggest you set up the account in advance of the bookings opening date in case of any problems.

Parents User Guide

Once the account is set up you will then be able to book for the Spring Term.

A tab labelled ‘TC6 Spring Term 2025’ will show on your home page (if you cant’ see this please check that you have filled in their school and class).

Here you will be able to select the day/days of the week you require, from Monday 6th January. Please note that at this point all days will show available.

The system will confirm the availability of your chosen days before the final payment and completion of your booking, please make sure you check this matches your requirements.

You will automatically be sent an invoice which we highly recommend you check again that you have the days you require.

Bookings are taken for the term and whilst the invoice total reflects this, payment can be made in monthly instalments.

Please do check the dates on your invoice in case any days were unavailable.

Fees:

Our session fees for the Spring term 2025 will be £13.50 per session, with a discount for siblings booked on the same booking reference. We are not able to offer discounts for part sessions.

Payment Methods:

Payment can be made through the site using childcare vouchers, the Government Tax free childcare scheme, credit or debit cards.

Please note we are NOT able to accept cash.

Please try and time any enquiries towards the end of the Club sessions as the start of the sessions is always our busiest time.

How you can help?

The club is managed successfully on a day-to-day basis but needs the support of a full management committee.

We would really appreciate your help to continue our success. If you can spare a couple of hours each term, please come and support us. We meet at the School on a Tuesday evening approximately once a half term. For more information, please speak to Liz or email manager@tclub6.org.uk

What is the first date my child can attend?

T-Club-6 Ltd is open along with the school from Tuesday 3rd September

What are the club’s opening hours?

We are open every day that the school is open from 3.30pm until 6.00pm, except for the 4 days the school closes early; at the end of term and the Friday of Arts week.

Do I need to tell you if my child is off sick or not coming on a prearranged night? Yes, if your child is not coming to the club for ANY reason on a prearranged session you must call or text the club phone 07756 713525, so that we do not call you, looking for them! The school does not inform us if your child is absent and therefore we do not know when your child is not in school.

Can my child attend other clubs before coming to T-Club-6 Ltd?

Yes, but your child is not our responsibility until they have signed into our club.

If your child is attending another after school club before coming to T-Club-6 Ltd then please inform T-Club-6 Ltd at the start of each term & make sure your child knows how to get to the club. The school does not inform us if your child attends another club.

Do I have to pay all at once, or can I pay in instalments?

Payment options are available when you get to the checkout section whilst making your booking. You can also log into your account at any time and see the balance on your account. https://tclub6.magicbooking.co.uk

Please note that each booking has its own unique reference number and so to avoid confusion, payments need to be referenced with this.

Can I pay with childcare vouchers?

We take childcare vouchers from a variety of companies which are listed at the bottom of the bookings Information page of our website www.tclub6.org.uk  along with reference numbers which you may need; please speak to the manager if you are unsure if your company is registered.

You can pay monthly but it is still your responsibility to make sure payment is in advance of sessions and that your account doesn’t fall into arrears, this may mean topping up payments with by debit/credit card during the term.

We are also registered for the Governments tax-free childcare scheme. If using this method, we would appreciate it if you could drop us an email with the details when you have made a payment and your reference.

Cancelling my place and Notice Periods:

If for any reason you need to permanently cancel your booking you will be required to give us one month’s notice in writing in order to receive a refund.

If you are not sending your child for a session, please let the club know as soon as possible by text, phone or email. NB we do not give credits or refunds for missed sessions.

Do you share our information?

In line with the GDPR (General Data Protection Regulation) we will only share your information with other statutory bodies with your consent.

The schdool will only share information with us if it is deemed to be in the best interest of the child and so it is important that you keep us up to date and tell us of any additional needs, or other information you think may be useful to us in looking after your child.
